Start with fit, not a universal ranking
Capterra’s 2026 church-management directory includes a large field of products with different strengths. Verified reviews are useful, but star ratings cannot tell you whether a system fits your ministry. Before comparing vendors, define the problems you need solved: people records, check-in, giving, groups, worship planning, communications, workflows, accounting, mobile access, reporting, or all of the above.
Planning Center: strong ecosystem and ministry-specific apps
Planning Center is one of the most widely reviewed ChMS options in Capterra’s 2026 directory. Its modular ecosystem is attractive to churches that want purpose-built tools for people, groups, check-ins, giving, registrations, services, and other ministry workflows.
The tradeoff of a modular system is that churches need to decide which products they actually need and maintain consistent processes across them.
Rock RMS: flexibility for churches willing to own complexity
Rock RMS is open-source and unusually configurable. Its current feature set spans people management, check-in, metrics, giving, workflows, communications, groups, Connections, Steps, media analytics, sign-ups and more.
That flexibility is a major advantage for churches with technical capacity or partners who can customize it. For a small church wanting minimal administration, the same flexibility can be more system than necessary.
Realm: integrated operations with pastoral-care tools
Realm combines profiles, directories, groups, attendance, check-in, giving, accounting, pathways, reporting and pastoral-care tools. Its Shepherd app is explicitly aimed at pastors and care teams, which makes Realm a strong fit for churches that want administrative records and pastoral workflows in one ecosystem.
Budget-oriented systems can be the right answer
ChurchTrac, Tithely and other systems compete on ease of use, pricing, giving integration, communications, member management and all-in-one convenience. A smaller congregation may be better served by a simpler product that staff actually use consistently than by a powerful platform that never gets configured well.
Compare total cost, migration effort, support quality, mobile experience, integrations, permissions, reporting, and the time required to administer the system.
One category is still different: person-to-person relationship visibility
Modern ChMS products can track attendance, giving, groups, communication, pathways, care notes and many forms of engagement. Some help members contact each other or join groups. That is not the same as modeling the relationship network itself: who is actually connected to whom, where zero-connection members exist, and how relationships form across the church.
That is the gap Proximity is designed to fill beside—not instead of—the ChMS you choose.
